Closing the month in AP means making sure every bill for the month is entered, approved and coded and the payables balance ties out.
Before you start
- Finance permissions
The Business Central way
Where to find it: Specify posting periods (see the posting periods help) and Accounting Periods
- Post and approve all bills for the month. Run payments and reconcile the bank.
- Run the Aged Accounts Payable Excel report (ID 4403) with the Aged as of date set to month end and tie it to the payables G/L account.
- Run Vendor - Balance to Date for the same date if you need balances by vendor at that date.
- Open General Ledger Setup and set Allow Posting From and Allow Posting To so the month is outside the range.
- Use User Setup to give named users a different range. That range overrides the one on General Ledger Setup.
Limits in Business Central
- Date formulas depend on each user's work date, which a user can change on My Settings. Use fixed dates when only an administrator should control the boundary.
Good to know in Business Central
- You can use date formulas in the Allow Posting From Date Formula and Allow Posting To Date Formula fields. For example -CM and CM give the current month, and -1M-CM with -CM-1D give the whole previous month.
- The fields are on General Ledger Setup (choose Show more if you cannot see them), User Setup and General Journal Templates.
- The posting date check runs in order: User Setup, General Ledger Setup, then the General Journal Template if Journal Templ. Name Mandatory is on.
- Entering a formula clears the fixed date in the same box, and entering a fixed date clears the formula.
The Pulsify way
- Clear the Pulsify queue: approve, reject or archive each bill waiting.
- Forward missing bills from suppliers to your Pulsify address.
- Reconcile key supplier statements in Pulsify.
- Then run reports and lock the period in Business Central.
Pulsify connects to Business Central. We set up the connection for you.
What Pulsify does not do here
- Pulsify does not post accruals.
- Aged payables and period locks are in Business Central.
Common mistakes
- Locking posting dates before every bill for the month is posted and approved.
- Skipping the tie between the aged payables report and the G/L payables account.
