An aged payables report lists what you owe each supplier, grouped by how overdue each bill is. What is accounts payable?
Before you start

- Security authorisation for the screen
The Sage 300 way
Where to find it: Accounts Payable > A/P Transaction Reports > Aged Payables
- Open Accounts Payable > A/P Transaction Reports > Aged Payables.
- Choose vendor range, aging date basis (document date or due date) and detail or summary form.
- Print or send to a file.
- In Report Type choose Aged Payables By Due Date or By Document Date.
- Enter an Age As Of date. Sage 300 uses it to place each transaction in an aging period, for example by counting days between the due date and the Age As Of date.
- Set Cutoff By (Document Date, Posting Date or Year/Period) and a Cutoff Date. Zeros for month, day and year include all transactions. Year/Period includes everything up to the end of a fiscal period.
- Choose summary, Detail by Date or Detail by Document. Other options include Sort Transactions by Transaction Type, Use Aging Periods (override the periods set on the A/P Options screen) and Select Vendors By (up to four criteria).
Limits in Sage 300
- Groups items into a current period and four aging periods.
- A separate Aged Retainage report exists.
- Reports aged by due date can show aged retainage for each vendor. That option is not available when you age by document date.
- The Aged Retainage report is separate. It uses six aging periods: the five you set plus a Future period.
- Credit notes, debit notes and prepayments show in the Current column if the A/P Options screen sets them to age As Current.
Good to know in Sage 300
- The same screen prints the Overdue Payables By Due Date and Overdue Payables By Document Date reports.
- The report can show the vendor contact, phone and credit limit, subtotals by vendor group or account set, and extra space for comments between vendors. Miscellaneous payments appear as MC.
Common mistakes
- Picking the wrong aging date basis and reading document-date aging as due-date aging.
- Aging by document date and expecting to see retainage. Aged retainage shows only on reports aged by due date.
