HOW-TO

How to put a disputed vendor invoice on hold in Sage 300

Short answer

In Sage 300, keep the A/P invoice out of the payment batch with a note on what is disputed and who is chasing. Tell the vendor in writing and record the credit note when it arrives.

Before you start

  • Sage 300 Accounts Payable
  • Security authorisation for the screen

The Sage 300 way

Where to find it: Accounts Payable > A/P Transactions > Control Payments

  1. Open Accounts Payable > A/P Transactions > Control Payments.
  2. On Single Document enter Vendor Number and Document Number, then Go.
  3. Set Document Status to On Hold (other values: Normal, Forced).
  4. To hold a whole vendor use Range of Documents, or put the vendor on hold in the vendor record.

Limits in Sage 300

  • A hold stops the Create Payment Batch screen paying the invoice but does not stop you entering a check in Payment Entry.
  • A vendor on hold cannot be paid at all.

The Pulsify way

  1. Forward the invoice to Pulsify. It flags price and quantity differences against the PO and possible duplicates.
  2. If you disagree with the bill, reject it with a reason. The reason is saved with the bill.
  3. When the corrected invoice or credit note arrives, forward it and approve it.

What Pulsify does not do here

  • Pulsify does not have a dispute status or a hold on payment.
  • Payment runs happen in Sage 300.

Common mistakes

  • Relying on the hold while someone enters the payment by hand in Payment Entry.
  • Holding one invoice at a time when the whole vendor should be held, using Range of Documents or the vendor record.
