Duplicate invoice checks in SAP B1 for wholesalers

Short answer

SAP B1 covers part of duplicate invoice checks on its own. Wholesalers receive the same invoice from several places: the supplier's email, a portal, a carrier and a monthly statement.

Why it matters for wholesalers

  • Reissued invoices keep the same lines and total but get a new number, so number-only checks miss them.
  • Volume makes a duplicate easy to hide. A $3,000 duplicate among 400 bills a week is not obvious.

For wholesalers in SAP B1

  • Wholesalers key many bills a day from the same few suppliers. Fill in Vendor Ref. No. on every A/P invoice, including those copied from a goods receipt PO, or the Document Settings check has nothing to compare.
  • Broker and carrier bills that clear a landed costs document are also A/P invoices, so give them a Vendor Ref. No. too.
  • An A/P invoice made without reference to a goods receipt PO also raises the quantity in stock. A bill keyed twice without that reference doubles the stock as well as the payable.
  • When you create a document by reference, only open documents are listed, and a base document stays open until all items are copied. A goods receipt PO that is fully copied to an invoice no longer appears for a second one.

What SAP B1 does on its own

Document Settings has a check on duplicate vendor reference numbers. It can warn only or block release and receipt. It works on the Vendor Ref. No. field, so it only helps if staff fill that field in.

The default Without Warning allows duplicates.

Example

Example Cleaning Supplies sends invoice 88120 by email. The same invoice comes in again from their portal as 88120-R with the same lines and amount.

LineAmountWhat the check finds
Invoice 88120, cleaning supplies$3,180.00Original bill
Invoice 88120-R, cleaning supplies$3,180.00Same supplier, same total, same lines and a close number
GST on both$318.00Would be claimed twice if both are paid

The check flags the second bill as a likely duplicate on supplier, amount and lines. It is held, so the wholesaler does not pay $3,498 twice.

Common mistakes

  • Matching on invoice number only.
  • Entering a bill from the statement when the original invoice is already in the system.

Common questions

Does the Business One duplicate check cover bills copied from a goods receipt PO?

It works on the Vendor Ref. No. field of the A/P invoice. A copied invoice still needs that field filled in. If the supplier's number is blank or typed differently, the check will not fire.

What counts as a duplicate bill for a wholesaler?

Same supplier, same total and similar date, even if the invoice number differs. Look at line items too. A reissue often adds a letter or changes a digit.

Does Business One warn about a duplicate vendor invoice?

Yes, through Document Settings. Choose Warning Only or Block Release/Receipt.
