Why it matters for wholesalers
- Statements often show invoices in a different order, with finance charges, rebates and unapplied payments mixed in.
- A statement that disagrees with your records can mean you owe less or more than the ledger shows, which affects cash and who you call first.
For wholesalers in SYSPRO
- Run AP Aged Analysis (Accounts Payable > Reports) and the AP Trial Balance for the supplier, then compare with the statement by hand.
- Use the GRN Invoice Variance report to explain gaps where the supplier billed a value different from what you received.
- Outstanding value on each GRN is the GRN value less the value matched so far. Use it to answer a supplier who says a delivery was billed when you have not matched it.
Rules that matter for wholesalers in SYSPRO
- SYSPRO has no statement program in Accounts Payable. The check is a manual comparison every time.
- After AP Initial Invoice Capture, the AP Trial Balance agrees to the general ledger control account.
- A credit for a short or damaged delivery needs a credit note entered against the supplier. If not, the statement keeps showing the bill in full.
What SYSPRO does on its own
SYSPRO has no supplier statement reconciliation program. The AP Trial Balance reports supplier balances for a manual check against a statement.

Example
Example Stationery Wholesale sends a statement for $12,980. The AP Trial Balance for the same date shows $11,700. The supplier says a delivery was billed twice.
| Line | Amount | What the check finds |
|---|---|---|
| AP Trial Balance balance for the supplier | $11,700.00 | Compared with the statement line by line |
| Invoice on the statement and not in SYSPRO | $980.00 | Fix with AP Invoice Registration or AP Invoice Posting once confirmed |
| Delivery the supplier says was billed | $300.00 | Outstanding value on the goods received note shows whether it has been matched |
The $1,280 gap is the unentered invoice and the delivery in question. The goods received note answers the delivery point. AP Aged Analysis shows the age of what remains.
Common mistakes for wholesalers in SYSPRO

Common questions
How does a SYSPRO wholesaler check a supplier statement?
There is no statement program. Run AP Aged Analysis and the AP Trial Balance for the supplier and compare line by line. The GRN Invoice Variance report helps explain value gaps.
What do I do with an invoice that is on the statement but not in my ledger?
Ask the supplier for a copy and a delivery docket. Do not pay until you have matched it to a goods received note. If it is valid, enter it with the right date so your accruals are right.
Does SYSPRO reconcile supplier statements?
