Supplier price checks in NetSuite for wholesalers

Short answer

NetSuite covers part of supplier price checks on its own. Wholesalers buy thousands of SKUs. A small unit price change on a high-volume line can cost more than a missed large bill.

Why it matters for wholesalers

  • Suppliers change price lists, run promotions and add surcharges. The price on the purchase order may be weeks old when the invoice lands.
  • Rebates and settlement discounts sit outside the invoice, so the price you pay is not always the net cost you get.

For wholesalers in NetSuite

  • Turn on the Multiple Vendors feature. Then list each supplier's price on the item's Vendors subtab (Lists > Accounting > Items, then Purchasing/Inventory). Each row holds the vendor, a Code and a Purchase Price. Mark one vendor as Preferred.
  • Load a supplier's whole price list from the vendor record: Financial subtab, Items subtab, Import Price List. The CSV has item name, vendor code and purchase price, with optional price schedule and currency. Item names must match your items exactly.
  • For a deal with a start and end date use Transactions > Purchases > Enter Purchase Contracts. Tick Update Item Price to copy the vendor, price and currency to the item's Vendors subtab.
  • With Advanced Receiving on, Transactions > Payables > Post Vendor Bill Variances posts journals for price, quantity and exchange rate differences between the bill and the receipt. The variance accounts are set on the item record.

What NetSuite does on its own

NetSuite has no separate contract price check. The 3-way match workflow compares the bill with the PO and item receipt on amount and quantity, and a difference outside the tolerance becomes an exception for the supervisor.

  • No separate contract price check.

The tolerance is on amount and quantity. The help does not describe a separate unit price tolerance field.

Example

Example Steel Supplies sends an invoice for 500 units of bracket B12. The agreed unit price on the purchase order is $4.20. The invoice charges $4.45.

LineAmountWhat the check finds
Bracket B12, 500 units at $4.45$2,225.00Order price was $4.20, so the line is $125 over
Bolt pack BP7, 200 units at $1.10$220.00Matches the agreed price
Surcharge, material cost$90.00Not on the order or price list

The check flags the B12 price difference of $0.25 a unit and the surcharge. The buyer confirms whether a new price list applies before the bill is approved.

Common mistakes

  • Approving a bill because the total looks close, without checking the unit price on each line.
  • Updating the purchase order price to match the invoice without asking whether the supplier agreed to the change.

Common questions

Can NetSuite flag when a supplier bills above the agreed wholesale price?

Not by an item price check alone. Keep agreed prices on the item's Vendors subtab or a purchase contract so they fill the order. With Advanced Receiving the Post Vendor Bill Variances page then shows price differences between the bill and the receipt.

How do I find out when supplier prices change?

Compare each invoice price to the purchase order or agreed price list on every line. Report the lines that moved most each month, then ask the supplier for their new list in writing.

Can NetSuite flag a bill priced above the PO?

Yes, through the 3-way match workflow. If the bill amount differs from the PO by more than the Amount Tolerance, the bill routes to the supervisor. It is an amount check, not a unit price check.
