NETSUITE

Supplier price checks for NetSuite

Short answer

NetSuite covers part of supplier price checks on its own. Pulsify checks every line against the purchase order or a price list you upload for each vendor.

Last checked

A supplier price check compares the unit price on each bill line with the price you agreed, so overcharges are caught before you pay.

What NetSuite does on its own

NetSuite has no separate contract price check. The 3-way match workflow compares the bill with the PO and item receipt on amount and quantity, and a difference outside the tolerance becomes an exception for the supervisor.

  • No separate contract price check.

What you need in NetSuite

  • NetSuite Approvals Workflow SuiteApp (3 Way Match) or SuiteApprovals exception criteria
  • Tolerance fields filled in on the vendor, item or subsidiary

Setting it up in NetSuite

Where to find it: Lists > Relationships > Vendors > Edit > Financial subtab

  1. Install the NetSuite Approvals Workflow SuiteApp.
  2. Edit the vendor, item or subsidiary and fill in the amount and quantity tolerance fields (Oracle's example calls them VB-PO Amount Tolerance and VB-PO Quantity Difference).
  3. Enter a positive number above zero. The tolerance is a percentage.
  4. Switch off the standalone amount and quantity criteria so the tolerance applies.
  5. Raise the PO at the agreed rate and bill from it so the rate comes across.

Good to know in NetSuite

  • The tolerance is on amount and quantity. The help does not describe a separate unit price tolerance field.
  • If the fields are blank on both the vendor and subsidiary records, the criteria using them do not run.
  • Nothing compares a bill with a price list held outside the PO.

How to do it in NetSuite

How to check vendor bill lines against agreed vendor prices in NetSuite

Keep the agreed price list for each vendor outside NetSuite. Compare each vendor bill unit price to the list and query any difference. Update the list when prices change.

How to set a price tolerance on purchase order matching in NetSuite

Yes, through the NetSuite Approvals Workflow SuiteApp. Set Amount Tolerance and Quantity Tolerance on the item, vendor or subsidiary record. There is no separate unit price tolerance field.

What Pulsify adds

  1. Upload the prices you agreed with a supplier as a CSV. One price list per supplier, up to 100,000 items.
  2. Pulsify checks the unit price on every line of that supplier's bills against the list, by item code then exact description.
  3. Lines priced differently or not on the list are flagged.
  4. If a bill is matched to a purchase order, line prices are checked against the PO too.
  5. The approver sees the flag and decides.

What Pulsify does not do

  • There is no tolerance. Any difference is flagged.
  • Pulsify does not track rebates or price history.

Common questions

Can NetSuite flag a bill priced above the PO?

Yes, through the 3-way match workflow. If the bill amount differs from the PO by more than the Amount Tolerance, the bill routes to the supervisor. It is an amount check, not a unit price check.

Where do I set the amount tolerance?

On the item, vendor or subsidiary record. Blank fields on both vendor and subsidiary mean the criteria do not run.

How do I update a price list?

Upload the new CSV. It replaces the old list and open bills are checked again the next time they are opened.
