Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.
Before you start
- 3 Way Match workflow or SuiteApprovals exception criteria for amount checks
The NetSuite way
Where to find it: Transactions > Purchases/Vendors > Enter Purchase Orders
- Raise a PO with the agreed rate.
- Bill from the PO so the rate comes across.
- Set the Amount Tolerance fields. Bills whose amount differs from the PO by more than the tolerance route to the supervisor.
Limits in NetSuite
- The checks compare the bill with the PO and item receipt on amount and quantity. No unit price field was found.
- No check against a price list outside the PO.
The Pulsify way
- Upload a CSV price list for the vendor in Pulsify. Map the item code, description and unit price columns.
- Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
- A higher or lower unit price is flagged. A line not on the list is marked.
- Approve or query the vendor.
Pulsify connects to NetSuite. We set up the connection for you.
What Pulsify does not do here
- Pulsify checks unit price only, not quantity.
- One unit price per item. No price history.
- A mismatch is a warning and does not block approval.
Common mistakes
- Expecting a check against a supplier price list when the checks only compare with the PO.
- Keying a new bill instead of billing from the PO, so the agreed rate does not come across.
