Why it matters for wholesalers
- Reissued invoices keep the same lines and total but get a new number, so number-only checks miss them.
- Volume makes a duplicate easy to hide. A $3,000 duplicate among 400 bills a week is not obvious.
For wholesalers in NetSuite
- Set Duplicate Number Warnings to Warn and Block at Setup > Accounting > Preferences > Accounting Preferences, on the Items/Transactions subtab. Oracle lists vendor bills and vendor credits among the types it affects. Warn (UI only) gives a message but lets the user save.
- Warn and Block works on the document number and stops the save. The Reference No. field gives a separate warning that a user can override with OK.
- Wholesale suppliers often resend invoices after a statement query. Key the supplier's invoice number in Reference No. (up to 45 characters) on every bill so the warning has a number to compare.
What NetSuite does on its own
When a vendor bill is saved with the same Reference No. as another bill for that vendor, NetSuite may show a warning, and you can click OK to save anyway. The Duplicate Number Warnings preference also has a Warn and Block option that stops the save of a repeated document number on vendor bills and vendor credits.
- The Reference No. warning can be overridden with OK.
- Warn and Block works on the document number, so a re-typed number or a different format will not trigger it.
With Warn and Block on, the user must click Cancel and change the document number before the record saves.

Example
Example Cleaning Supplies sends invoice 88120 by email. The same invoice comes in again from their portal as 88120-R with the same lines and amount.
| Line | Amount | What the check finds |
|---|---|---|
| Invoice 88120, cleaning supplies | $3,180.00 | Original bill |
| Invoice 88120-R, cleaning supplies | $3,180.00 | Same supplier, same total, same lines and a close number |
| GST on both | $318.00 | Would be claimed twice if both are paid |
The check flags the second bill as a likely duplicate on supplier, amount and lines. It is held, so the wholesaler does not pay $3,498 twice.
Common mistakes
- Matching on invoice number only.
- Entering a bill from the statement when the original invoice is already in the system.

Common questions
Can NetSuite stop a duplicate supplier invoice from being saved?
Yes. The Duplicate Number Warnings preference has a Warn and Block option that stops the save of a repeated document number on vendor bills and vendor credits. The Reference No. field on its own only warns and can be overridden.
What should I do if a duplicate was already paid?
Ask the supplier to issue a vendor credit or refund. Do not just short-pay the next invoice without telling them. Keep the record so the statement reconciles.
Will NetSuite stop me saving a duplicate bill?
Yes, once Duplicate Number Warnings is set to Warn and Block. It covers vendor bills and vendor credits and works on the document number. The Reference No. warning on its own lets you click OK and save.
