SAGE X3 · DISTRIBUTION AND WHOLESALE

Duplicate invoice checks in Sage X3 for wholesalers

Short answer

Sage X3 covers part of duplicate invoice checks on its own. Wholesalers receive the same invoice from several places: the supplier's email, a portal, a carrier and a monthly statement.

Why it matters for wholesalers

  • Reissued invoices keep the same lines and total but get a new number, so number-only checks miss them.
  • Volume makes a duplicate easy to hide. A $3,000 duplicate among 400 bills a week is not obvious.

For wholesalers in Sage X3

  • The same number check runs per invoicing supplier. Freight and customs additional invoices come from their own business partner, so a carrier's numbers are checked against that carrier only.
  • When you preload an additional invoice from orders, X3 lists only lines that are not received, not invoiced and not closed.

Rules that matter for wholesalers in Sage X3

  • Basic food is generally GST-free. A mixed bill needs the right tax rule and tax rate on each line.
  • Large businesses with income above $100 million must report how fast they pay small business suppliers. A wholesaler that supplies them should expect shorter payment terms.
  • When you preload an additional invoice from orders, only lines that are not received, not invoiced and not closed are listed.

What Sage X3 does on its own

On a purchase invoice you enter the supplier invoice number in the Supplier doc no. field (BPRVCR). X3 checks that the same number is not entered twice for the same invoicing supplier. The v12 help does not say whether it warns or blocks.

  • Check is by number and supplier only.

On Supplier BP invoices the Source document field (BPRVCR) records the supplier's invoice reference. The help for that screen does not describe a same number check.

Example

Example Pacific Carriers invoices $640 ex GST on FRT-0098 for inbound freight. The carrier's invoice is raised as an additional invoice from orders. The statement lists the same number a month later.

LineAmountWhat the check finds
Additional invoice from the carrier, Supplier doc no. FRT-0098$640.00Accepted
Entry from the statement, Supplier doc no. FRT-0098$640.00Blocked, because the number exists for that carrier
Goods supplier invoice with the same freight inside it$640.00Not blocked, because it comes from a different invoicing supplier

The carrier's own numbers are checked against that carrier only. Freight billed twice by two different suppliers needs a look at the receipt.

Common mistakes for wholesalers in Sage X3

  • Entering a carrier invoice number under the goods supplier.
  • Entering from a statement without searching BPRVCR for the original invoice.
  • Expecting a block on amount. The check is by number and supplier.

Common questions

How does Sage X3 stop a freight invoice being entered twice?

The Supplier doc no. check blocks the same number for the same invoicing supplier. A freight invoice from a carrier is checked against that carrier's own numbers. Enter the number exactly as printed.

What should I do if a duplicate was already paid?

Ask the supplier to issue a purchase credit memo or refund. Do not just short-pay the next invoice without telling them. Keep the record so the statement reconciles.

Does Sage X3 stop duplicate supplier invoice numbers?

Yes. The Supplier doc no. field (BPRVCR) is checked so the same number cannot be entered twice for the same invoicing supplier.
