HOW-TO

How to job cost purchase invoice records in Sage 50

Short answer

In Sage 50, create each project, tag each purchase invoice line with the project using nominal code, cost centre and department and run a cost-by-project report each month.

Job costing supplier bills means tagging each bill line to a job so you can see cost against budget for every job.

Before you start

  • Sage 50 Accounts with the Projects ledger (UK); edition not stated in handout

The Sage 50 way

Where to find it: Suppliers > Batch invoice (Project Ref and Cost Code columns)

  1. Set up the Projects ledger and create the project records.
  2. On Suppliers > Batch invoice, enter the Project Ref and Cost Code on each line.
  3. Costs show against the project once posted. Open purchase orders show as Committed cost until invoiced.

Limits in Sage 50

  • On Purchase orders > Update ledgers leave Project Ref and Cost Code blank, otherwise an information box shows (Sage handout).
  • Committed cost from orders is not on the project Activity until invoiced.

Good to know in Sage 50

  • Mistakes can be corrected by editing the transaction to change Project Ref or Cost Code.
  • Project only charges and credits use Projects > Charges (CD) and Credits (CC).

Words Sage 50 uses

  • Batch invoice. A window that lets you enter many supplier invoices in one go.

The Pulsify way

  1. Forward the supplier's invoice to Pulsify. Pulsify reads every row as its own line.
  2. Review each line's account and set the job where it applies.
  3. Route bills to the person who knows the job, using approval rules.
  4. Approve. The purchase invoice is created in Sage 50 with each line.

What Pulsify does not do here

  • Pulsify does not split lines by percentage.
  • Job reports are run in Sage 50.

Common mistakes

  • Filling in Project Ref and Cost Code on Purchase orders > Update ledgers, which should stay blank or an information box shows.
  • Looking for committed cost on the project Activity before the invoice is posted.
