Raising a purchase order means writing down what you are buying, from whom and at what price and getting sign-off before you order. What is purchase order?
Before you start
- Purchase Orders module
- Requisitions
The SYSPRO way
Where to find it: Requisition Entry then Purchase Order Entry
- Enter a requisition. The requisition user has an authority limit per line.
- Approval follows the approval level checking set up for User, Group or Product class within group.
- Convert the approved requisition into a purchase order, or enter an order directly in Purchase Order Entry.
- Print the order (status 4) and receive goods against it with Purchase Order Receipts.
Limits in SYSPRO
- Approval is in the requisition system. Purchase Order Entry itself has no approval step.
- A supplier on hold cannot receive new purchase orders.
Good to know in SYSPRO
- Auto-approval limits let small lines pass without a person.
The Pulsify way
- Raise and approve the purchase order in SYSPRO as usual.
- When the invoice arrives, Pulsify links it to the purchase order and matches the lines.
- Differences in quantity or price are flagged for review before approval.
Pulsify connects to SYSPRO. We set up the connection for you.
What Pulsify does not do here
- Raising and creating POs in Pulsify works with Xero only today. For SYSPRO, Pulsify matches bills to the POs you raise there.
Common mistakes
- Entering an order directly in Purchase Order Entry and expecting it to go through approval.
- Raising an order for a supplier who is on hold.
