Setting up a new supplier safely means checking who they are and where the money goes before the first payment. What is supplier onboarding?
Before you start
- Sage 50 Accounts (UK)
The Sage 50 way
Where to find it: Suppliers > New (supplier record)
- Create the supplier record with terms and default nominal code.
- Due dates come from the supplier terms, 30 days if none are set.
Limits in Sage 50
- Due date comes from supplier terms, 30 days by default.
Words Sage 50 uses
- Nominal code. The UK name for a general ledger account.
The Pulsify way
- Forward the first purchase invoice to Pulsify.
- Pulsify flags a supplier not found in Sage 50 so you add the record with the right details.
- It flags a supplier VAT number that is missing or differs from the supplier record.
- It compares bank details with the supplier record and flags a mismatch.
- Route first bills for new suppliers to a second approver.
Pulsify connects to Sage 50. We set up the connection for you.
What Pulsify does not do here
- Pulsify flags. A person still confirms by phone and checks the VAT number with HMRC.
Common mistakes
- Leaving terms blank, so every invoice falls back to a due date of 30 days.
- Setting a default N/C too loosely, so it fills onto every invoice.
