HOW-TO

How to set up a new supplier card safely in AccountRight

Short answer

Before the first bill, collect the supplier card's ABN and bank details, check the ABN, phone to confirm, have a second person approve the supplier card record in AccountRight, then enter the first bill.

Setting up a new supplier safely means checking who they are and where the money goes before the first payment. What is supplier onboarding?

Before you start

  • Card File access

The AccountRight way

Where to find it: Card File command centre > Cards List > New

  1. Go to the Card File command centre and click Cards List, then New. For Card Type pick Supplier. For Designation pick Company or Individual.
  2. Type the supplier name. Use the Card ID field if you code suppliers. Enter contact details. The Location list holds up to five sets of contact details.
  3. Open the Buying Details tab. Type the ABN. If you are online it is checked against the Australian Business Register. A green icon means it is valid and a yellow icon means a problem, so hover over it for details.
  4. Tick Report Taxable Payments for a contractor, and tick Use Supplier's Tax Code if the supplier's GST status should override the item or account code.
  5. Set the credit terms. They become the default for every purchase from this supplier.
  6. On the Payment Details tab enter the supplier's bank account and choose how remittance advices go (print or email, not Basics).
  7. Optionally set Supplier Since on the History tab. Click OK.

Limits in AccountRight

  • The supplier on a purchase cannot be changed after it is recorded, so check the card before you enter the first bill.

Good to know in AccountRight

  • Setup > Preferences > Purchases has an option to warn when a supplier has no ABN on a purchase over $75 tax exclusive. The warning can be turned off for overseas suppliers.
  • Import supplier details from a spreadsheet with an import template if you have a long list.
  • Run the Card List [Summary] or [Detail] report (Reports > Index to Reports > Card tab) to review the supplier list.

The Pulsify way

  1. Forward the first bill to Pulsify.
  2. Pulsify flags a supplier card not found in AccountRight so you add the record with the right details.
  3. It checks the ABN against the ABR and flags an invalid ABN or one not registered for GST.
  4. It compares bank details with the supplier card record and flags a mismatch.
  5. Route first bills for new suppliers to a second approver.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here

  • Pulsify flags. A person still confirms by phone.

Common mistakes

  • Saving the card before the ABN shows a green icon.
  • Leaving off the Payment Details and the contractor tick, then fixing them after the first bill.
