How to run the Aged Payables report in AccountRight

Short answer

In AccountRight, run the Aged Payables [Summary] or [Detail] as at your chosen date. Check the total ties to your accounts payable balance and look at items over 30 days.

An aged payables report lists what you owe each supplier, grouped by how overdue each bill is. What is accounts payable?

Before you start

  • Reports access

The AccountRight way

Where to find it: Purchases command centre > Reports > Payables

  1. Open the Purchases command centre and click Reports. The Payables group has the reports.
  2. Choose Aged Payables [Summary] for one line per supplier, with the balance due then its age.
  3. Or choose Aged Payables [Detail] to list each open bill under the supplier in the right ageing column.
  4. Pick the suppliers and the ageing date, then print, send or export.
  5. Click a total in the Total Due or Ageing columns to open Analyse Payables for that supplier. Click an ID No. or Date to open the bill.
  6. For a report as at a past date, run Payables Reconciliation [Summary] or [Detail]. For GST on cash-based reporters run Payables With Tax.

Limits in AccountRight

  • Aged Payables shows all current creditors. Payables Reconciliation shows creditors up to the date entered.
  • Reports show only transactions entered in windows your user ID is allowed to open.

Good to know in AccountRight

  • Payables With Tax helps reconcile GST for cash-based GST reporters.
  • If Payables With Tax shows an Out of Balance amount, that is the gap between the linked payables account and the total of outstanding bills.
  • Every supplier with a payables balance is listed in Payables With Tax, even if no GST is owing.
  • Run Reconcile purchases with the linked payables account in the Company Data Auditor to get the Payables Reconciliation Exceptions report when the two totals disagree.

Common mistakes

  • Using Aged Payables when you need the balance at a past date. Payables Reconciliation takes a date.
