HOW-TO

How to stop paying a bill twice in AccountRight

Short answer

Before you enter a bill in AccountRight, search the supplier card's bills for the same number or amount. Use one reference format and check the Pay Bills for repeats.

Duplicate payment is when the same supplier invoice is entered or paid more than once. It often happens when an invoice arrives by two routes.

Before you start

  • Preference access

The AccountRight way

Where to find it: Setup > Preferences > Purchase > Warn for Duplicate...Numbers on Recorded Purchases

  1. Go to Setup > Preferences and turn on Warn for Duplicate...Numbers on Recorded Purchases.
  2. Use the supplier's invoice number as the purchase number so a repeat is caught.
  3. AccountRight warns if a purchase number is used again.

Limits in AccountRight

  • The warning is on the purchase number only. It does not check supplier plus amount.

Good to know in AccountRight

  • There is a help page for supplier overpayments and double payments.

The Pulsify way

  1. Forward the supplier's invoice to Pulsify.
  2. Pulsify compares the invoice number with punctuation and case ignored, plus the same supplier card, invoice date or tax ID.
  3. It checks other Pulsify documents and active bills in AccountRight.
  4. A possible duplicate is flagged. Open the match, then reject or approve anyway.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here

  • Pulsify flags. You decide.
  • A duplicate with a quite different invoice number may not be found.

Example in AccountRight

Example Plumbing Supplies sends invoice INV-5521 by email and again by post. You use the invoice number as the purchase number.

LineAmountTagged to
First bill, purchase number INV-5521$1,320.00Recorded
Second bill, purchase number INV-5521$1,320.00AccountRight warns the number is used again

The warning stops the second entry before you pay. Paying both would cost $1,320.00 twice.

Common mistakes

  • Using your own number instead of the supplier's invoice number as the purchase number.
  • Assuming the warning checks supplier and amount. It checks the purchase number only.
