Why it matters for wholesalers
- Suppliers change price lists, run promotions and add surcharges. The price on the purchase order may be weeks old when the invoice lands.
- Rebates and settlement discounts sit outside the invoice, so the price you pay is not always the net cost you get.
For wholesalers in Business Central
- On the vendor card choose Purchase Price Lists (the new pricing experience) to record agreed prices. Use Suggest Lines to add many items at once or Copy Lines to start from another list.
- A price applies when the combination of vendor, item, minimum quantity, unit of measure and start and end dates matches. Wholesalers with tiered buying can enter one line per quantity break.
- Purchase line discounts and invoice discounts are separate. A line discount is an amount per line. An invoice discount is a percentage that applies when the document total passes a minimum.
- Prices fill the line on entry. They are not compared with the supplier's invoice at posting, so check the invoice price against the line before you post.
What Business Central does on its own
Business Central fills agreed purchase prices and line discounts onto the purchase line from price lists. It sets the price on entry and does not warn when a vendor invoice price differs, so the check is by eye before posting.
- No warning when the invoice price differs
Purchases & Payables Setup has a Discount Posting field that decides which discounts post separately.

Example
Example Steel Supplies sends an invoice for 500 units of bracket B12. The agreed unit price on the purchase order is $4.20. The invoice charges $4.45.
| Line | Amount | What the check finds |
|---|---|---|
| Bracket B12, 500 units at $4.45 | $2,225.00 | Order price was $4.20, so the line is $125 over |
| Bolt pack BP7, 200 units at $1.10 | $220.00 | Matches the agreed price |
| Surcharge, material cost | $90.00 | Not on the order or price list |
The check flags the B12 price difference of $0.25 a unit and the surcharge. The buyer confirms whether a new price list applies before the bill is approved.
Common mistakes
- Approving a bill because the total looks close, without checking the unit price on each line.
- Updating the purchase order price to match the invoice without asking whether the supplier agreed to the change.

Common questions
Can Business Central hold a supplier's agreed wholesale prices?
Yes. Record them on the vendor's purchase price list by item, minimum quantity, unit of measure and dates. Business Central puts the best price on the purchase line. It does not warn when the supplier's invoice price is different, so that check is by eye.
How do I find out when supplier prices change?
Compare each invoice price to the purchase order or agreed price list on every line. Report the lines that moved most each month, then ask the supplier for their new list in writing.
Does Business Central warn if an invoice price is above the agreed price?
No. Prices fill on entry from the price list. There is no price tolerance, so an invoice price difference is checked by eye.
