Why it matters for wholesalers
- Suppliers change price lists, run promotions and add surcharges. The price on the purchase order may be weeks old when the invoice lands.
- Rebates and settlement discounts sit outside the invoice, so the price you pay is not always the net cost you get.
For wholesalers in MYOB Acumatica
- Set Bill Against Commitments to Validate with Warning in Purchase Orders Preferences (PO101000). It checks each bill Unit Cost, Amount and Quantity against the order line and warns when a value is larger, for example when a supplier bills a higher price. This sits beside the Vendor Price Worksheets, which only set the price on the order.
- On a promotional price worksheet tick Promotional and enter an Expiration Date. Tick Overwrite Overlapping Prices when a new worksheet should replace prices with overlapping dates.
- Choose the Allocation Mode in the Purchase Price Variance Allocation section. Inventory Account updates stock cost. Purchase Price Variance Account sends all variance to the variance account where you can report on it.
- Fill a vendor price worksheet with Add Item, Copy Prices, an Excel upload or an import scenario. Release it to make the prices effective, then check the order price before the bill arrives.
What MYOB Acumatica does on its own
MYOB Acumatica holds agreed supplier prices on Vendor Price Worksheets (AP202010), and the prices apply on orders. With Bill Against Commitments set to Validate with Warning in Purchase Orders Preferences (PO101000), it warns when a bill line's unit cost, amount or quantity is above the order line. The warning does not block the bill.
- The price warning compares the bill with the order line, not the price worksheet, and does not block the bill.
Min and Max receipt percent control quantity, not price.

Example
Example Steel Supplies sends an invoice for 500 units of bracket B12. The agreed unit price on the purchase order is $4.20. The invoice charges $4.45.
| Line | Amount | What the check finds |
|---|---|---|
| Bracket B12, 500 units at $4.45 | $2,225.00 | Order price was $4.20, so the line is $125 over |
| Bolt pack BP7, 200 units at $1.10 | $220.00 | Matches the agreed price |
| Surcharge, material cost | $90.00 | Not on the order or price list |
The check flags the B12 price difference of $0.25 a unit and the surcharge. The buyer confirms whether a new price list applies before the bill is approved.
Common mistakes
- Approving a bill because the total looks close, without checking the unit price on each line.
- Updating the purchase order price to match the invoice without asking whether the supplier agreed to the change.

Common questions
Does MYOB Acumatica warn when a bill is above the order price?
Yes, if Bill Against Commitments is set to Validate with Warning in Purchase Orders Preferences. The warning shows in the cell and in the title of the Details tab. It does not stop the bill, and it compares with the order, not the price worksheet.
How closely should a wholesaler check supplier prices?
Check the unit price on every line, not just the bill total. A 2% rise on a $500,000 monthly spend line is $10,000 a month. Check the largest SKUs by spend most often.
Does it warn when a bill is above the agreed price?
Yes, if Bill Against Commitments is set to Validate with Warning. It compares the bill with the order line, which carries the worksheet price. It warns but does not stop the bill.
