Supplier price checks in SAP B1 for manufacturers

Short answer

SAP B1 has no built-in supplier price checks. Raw material prices move with metal, resin and energy markets, so the purchase order price is often out of date when the invoice lands.

Why it matters for manufacturers

  • A cost per unit that is wrong by a few cents changes margin on every product that uses the material.
  • Surcharges for steel, fuel and currency are added late and may not be in the supplier agreement.

For manufacturers in SAP B1

  • Raw materials bought on contract can sit in a Specific purchasing blanket agreement that uses the Items method: planned quantity, date range and unit price per item. It can also hold a delivery schedule.
  • Business One has no price tolerance on matching, so a price jump is caught by eye when copying from the purchase order.

Rules that matter for manufacturers in SAP B1

  • Each plant database holds its own agreements. Load them into each database that buys the item.
  • A user query on the Terms tab can return True or False on your own rule, such as a price above an agreed ceiling.
  • Any one condition met on the template triggers approval, so keep the conditions few.

What SAP B1 does on its own

Business One has no supplier price check or price tolerance. The nearest control is an approval template with a term on document total, which sends large documents to an approver. Prices are compared by eye when copying from the purchase order.

A user query on the Terms tab can return True or False based on your own rule.

Example

Example Specialty Chemicals supplies solvent under a Specific purchasing blanket agreement. The agreed price is $6.10 a litre. The A/P invoice is copied from the goods receipt PO.

LineAmountWhat the check finds
Blanket agreement, Items method, 5,000 litres at $6.10$30,500.00Planned quantity, date range and unit price per item
A/P invoice copied from the goods receipt PO, 5,000 litres at $6.45$32,250.00Business One has no price tolerance, so the $1,750 difference is found by eye
Approval template with a term on document totalSends the large document to an approver

The clerk compares each row with the agreement. The approval template catches the large document, but only by total and not by price.

Common mistakes for manufacturers in SAP B1

  • Assuming a price tolerance exists. The nearest control is an approval template.
  • Typing the invoice price over the order price on the A/P invoice row without a note.
  • Setting the approval term on total only, so a price jump on a small order passes.

Common questions

Can Business One flag a raw material price rise on a bill?

Not as a tolerance. Hold the agreed price in a Specific purchasing blanket agreement so purchase documents pick it up, then compare the supplier's bill with it.

Are small surcharges worth checking?

Yes. A $40 pallet fee on 300 deliveries a year is $12,000. Check recurring surcharges against the supply agreement and ask for them to be fixed in writing.

Is there a supplier price list check?

No. Business One has no supplier price list check.
