Bulk changing account codes means moving many bills or lines from one account to another in one go, usually after finding a coding mistake.
Before you start
- Sage 200 Purchase Ledger
- Sage 200 Purchase Order Processing for PO tasks
The Sage 200 way
Where to find it: Purchase Ledger > Adjust Transactions > Correct Transactions (Professional); Suppliers > Amend Transactions > Correct Transactions (Standard)
- Open Purchase Ledger > Adjust Transactions > Correct Transactions and select the supplier account.
- If the invoice is allocated to a payment, unallocate it first (Allocations, then Reverse).
- Select the invoice, click Correct, change the nominal account and click Post Corrections. Re-allocate afterwards if needed.
- Remove any query flag on the transaction first.
Limits in Sage 200
- Corrections are made one transaction at a time. No bulk recode of nominal accounts on posted bills was found.
- For VAT transactions both the original and the new entry show on the next VAT Return.
- Bank payments and receipts posted to the wrong nominal account are fixed with a nominal journal.
The Pulsify way
- Fix the account in Pulsify before approval. Pulsify learns from corrections, so later bills for that supplier follow the new account.
- For bills already in Sage 200, make the change in Sage 200.
Pulsify connects to Sage 200. We set up the connection for you.
What Pulsify does not do here
- Pulsify does not recode bills that are already in Sage 200.
- Pulsify cannot edit locked periods. Use a journal in Sage 200.
Common mistakes
- Starting a correction without unallocating the invoice from its payment.
- Using Correct Transactions for a bank payment posted to the wrong nominal account, which needs a nominal journal.
