Raising a purchase order means writing down what you are buying, from whom and at what price and getting sign-off before you order. What is purchase order?
Before you start
- Sage 50 Accounts Professional (UK) or any Sage 50 (US) edition
The Sage 50 way
Where to find it: US: Vendors & Purchases > Purchase Orders > New Purchase Order
- Go to Purchase Orders > New Purchase Order.
- Enter the supplier, items or services and the PO No, then save or print it.
Limits in Sage 50
- No approval step. Sage UKI staff say PO authorisation is not available in Sage 50 Accounts.
- UK workaround: separate the New/Edit and Place Order user rights.
- Approval add-ons: Compleat (Sage Marketplace), PaperLess, Codeless Platforms.
The Pulsify way
- Raise and approve the purchase order in Sage 50 as usual.
- When the invoice arrives, Pulsify links it to the purchase order and matches the lines.
- Differences in quantity or price are flagged for review before approval.
Pulsify connects to Sage 50. We set up the connection for you.
What Pulsify does not do here
- Raising and creating POs in Pulsify works with Xero only today. For Sage 50, Pulsify matches bills to the POs you raise there.
Common mistakes
- Looking for an approval step in Sage 50 Accounts, when none exists.
- Giving one user both New/Edit and Place Order rights when you want raising and placing kept apart.
