HOW-TO

How to match a purchase invoice to a purchase order in Sage 50

Short answer

In Sage 50, open the purchase order, compare each purchase invoice line to the purchase order line on quantity and unit price and query any difference before you approve.

Last checked

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?

Before you start

  • Sage 50 Accounts Professional (UK) or any Sage 50 (US) edition

The Sage 50 way

Where to find it: US: Vendors & Purchases > Purchase Orders > New Purchase Order. UK: Purchase Order Processing (Professional)

  1. Enter the purchase order (US: it must have a PO No).
  2. When goods or the supplier invoice arrive, convert the order to a bill (US: Vendors & Purchases > Enter Bills > New Bill, or Inventory & Services > Receive Inventory).
  3. The order closes by itself once everything is received.

Limits in Sage 50

  • Order to receipt to bill link only. No price or quantity tolerance rules found.
  • A PO can only be updated to the ledger as an invoice once goods are received and not already invoiced (UK).

The Pulsify way

  1. Sync your open POs from Sage 50 to Pulsify.
  2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
  3. Pulsify matches each line on quantity and unit price, to within 1 cent.
  4. Review flags for price differences, extra quantity and lines not on the PO.
  5. Approve. The purchase invoice is created in Sage 50 against the purchase order.

What Pulsify does not do here

  • Pulsify has no tolerance setting. It compares to the cent.
  • Flags are warnings. Your approver decides.

Common mistakes

  • Expecting a price or quantity check, when only the order to receipt to bill link was found.
  • Updating a PO to the ledger before the goods are received (UK).
