Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?
Before you start
- Purchases access
The AccountRight way
Where to find it: Purchases command centre > Purchases Register > Orders tab > Change to Bill
- Enter the order with Purchase Type Order.
- When the bill arrives, open Purchases Register and click the Orders tab.
- Select the order and click Change to Bill.
- Update prices or dates, then Record.
Limits in AccountRight
- No tolerance or mismatch check. You compare by eye.
- A bill cannot be changed back to an order.
Good to know in AccountRight
- Tick Retain Original PO Number when Changing a Purchase in Setup > Preferences > Purchases to keep the PO number.
The Pulsify way
- Sync your open POs from AccountRight to Pulsify.
- Forward the supplier's invoice. Pulsify links it to the right order.
- Pulsify matches each line on quantity and unit price, to within 1 cent.
- Review flags for price differences, extra quantity and lines not on the PO.
- Approve. The bill is created in AccountRight against the order.
Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.
What Pulsify does not do here
- Pulsify has no tolerance setting. It compares to the cent.
- Flags are warnings. Your approver decides.
Example in AccountRight
Example Conduit Supplies sends an invoice for an order of 30 lengths of conduit at $9.40. You click Change to Bill.
| Line | Amount | Tagged to |
|---|---|---|
| Order line: 30 x conduit at $9.40 | $282.00 | Copied to the bill |
| Invoice line: 30 x conduit at $10.20 | $306.00 | You update the price and spot the $24.00 gap by eye |
| Freight | $18.00 | Extra line, not on the order |
AccountRight shows no alert for the $24.00 price difference or the $18.00 freight. Compare each line with the invoice before you click Record.
Common mistakes
- Changing an order to a bill and expecting to change it back. A bill cannot be changed back to an order.
- Expecting a warning when the invoice price is higher than the order price.
