A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.
Before you start
- Purchases access
- Item layout
The AccountRight way
Where to find it: Purchases > Enter Purchases > Purchase Type Receive Items
- Raise the order.
- When some items arrive, record Receive Items against the order. Use the Receive column for the quantity arrived.
- The item goes into stock and the cost goes to an accrual account.
- When the supplier bill arrives, convert the receipt to a bill. Update the price if it differs.
- Use Backorder for quantities still to come.
Limits in AccountRight
- Receive Items works in the Item layout and only against an order.
- No accounts payable entry until the bill.
Words AccountRight uses
- Receive Items. A purchase type that records goods arriving before the supplier bill.
The Pulsify way
- Sync your open POs from AccountRight to Pulsify.
- Forward each bill. Pulsify links it to the order and matches lines on quantity and unit price.
- Pulsify shows how much of the order is claimed, what this bill adds and what is left.
- Pulsify flags a line that bills more than what is left on the order.
- Approve. The bill is created in AccountRight against the order.
Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.
What Pulsify does not do here
- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the order line is not flagged, because partial delivery is normal.
Example in AccountRight
Example Tile Co is ordered 500 tiles at $4.00, which is $2,000.00 ex GST. Only 300 arrive.
| Line | Amount | Tagged to |
|---|---|---|
| Receive Items: 300 tiles at $4.00 | $1,200.00 | Into stock, cost to an accrual account |
| Backorder: 200 tiles | $800.00 | Still to come |
| Supplier bill converted from the receipt | $1,200.00 | Accounts payable entry made now |
The receipt stays off accounts payable until the bill is converted. The 200 tiles stay on backorder at $800.00 ex GST.
Common mistakes
- Trying Receive Items on an order in a layout other than Item.
- Forgetting to convert the receipt to a bill. There is no accounts payable entry until you do.
