A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.
Before you start
- Purchases access
The MYOB Business way
Where to find it: Purchases > Purchase orders
- Before converting, edit the No of units on the order to what arrived.
- Convert the order to a bill.
- Create a new purchase order for the items still to come, or enter a bill when they arrive.
Limits in MYOB Business
- No back order and no part receipt tracking.
The Pulsify way
- Sync your open POs from MYOB Business to Pulsify.
- Forward each bill. Pulsify links it to the purchase order and matches lines on quantity and unit price.
- Pulsify shows how much of the purchase order is claimed, what this bill adds and what is left.
- Pulsify flags a line that bills more than what is left on the purchase order.
- Approve. The bill is created in MYOB Business against the purchase order.
Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.
What Pulsify does not do here
- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the purchase order line is not flagged, because partial delivery is normal.
Example in MYOB Business
Example Tile Co is ordered 500 tiles at $4.00, which is $2,000.00 ex GST. Only 300 tiles arrive.
| Line | Amount | Tagged to |
|---|---|---|
| Order edited to 300 units, then converted to a bill | $1,200.00 | Bill for what arrived |
| New purchase order for the other 200 tiles | $800.00 | Still to come |
The bill is $1,200.00 ex GST and the new order is $800.00 ex GST. Together they equal the original $2,000.00.
Common mistakes
- Converting the full order when only part arrived.
- Expecting the original order to keep a balance of what is still to come.
