The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices

  1. Turn on signature management for the company (parameter APPPOH for orders, APPPOC for open orders).
  2. Set the signature assignment rule. For open orders the default rule picks the circuit from the first statistical code on the supplier record and the ex-tax order total.
  3. Signers approve from the workflow message or the signature list.

Limits in Sage X3

  • Signature circuits are documented for purchase orders and open orders. Supplier invoices only show a payment approval level.
  • Routing by cost centre or job was not found.

Words Sage X3 uses

  • Signature. X3 approval level on purchase documents.

The Pulsify way

  1. Open Approvals in Pulsify and add a step.
  2. Add rows to the step. Each row can match a supplier, an amount range, an account or a tracking category.
  3. Choose who approves each row: a person, a role or a team.
  4. Add a second step for large amounts, or a review step for coding checks.
  5. Set an auto-approve rule for trusted, small bills.
  6. Use Try an invoice to see where a real bill would go.

What Pulsify does not do here

  • Pulsify does not reassign approvals and does not send reminders.

Common mistakes

  • Expecting the signature rule to route supplier invoices, when it covers orders and open orders.
  • Not setting the first statistical code on the supplier, so the default rule has nothing to use.
