HOW-TO

How to set up a new supplier safely in IFS Cloud

Short answer

Before the first bill, collect the supplier's ABN and bank details, check the ABN, phone to confirm, have a second person approve the supplier record in IFS Cloud, then enter the first supplier invoice.

Setting up a new supplier safely means checking who they are and where the money goes before the first payment. What is supplier onboarding?

The IFS Cloud way

Where to find it: Supplier page

  1. Create the supplier as normal
  2. Add address details, the ABN (Document Tax Information or Association No) and a Supplier Group
  3. Add invoice and payment information including payment method
  4. Add the address on the Supplier page: Address 1, Address 2, State, City and Zip Code.
  5. Add phone and email in the Communication Method sub menu.
  6. In the Invoice sub menu set a Supplier Group. Use a group of its own for contractors so the TPAR run can filter them.
  7. In the Payment sub menu set the payment method. For electronic payments the Account Number and Branch in its address become the supplier bank details.

Limits in IFS Cloud

  • IFS does not check the ABN against ABN Lookup
  • The country guide describes no approval step or bank change check for a new supplier. Add one in your own process.

Good to know in IFS Cloud

  • The PO Matching Level and the Always Create Tolerance Posting option sit on the supplier Invoice General tab, so set them when the supplier is created.
  • Association No is the fallback place for the ABN if you do not use Document Tax Information.

Words IFS Cloud uses

  • Supplier Group. A grouping of suppliers. In Australia it is used to pick contractors for TPAR.

The Pulsify way

  1. Forward the first supplier invoice to Pulsify.
  2. Pulsify flags a supplier not found in IFS Cloud so you add the record with the right details.
  3. It checks the ABN against the ABR and flags an invalid ABN or one not registered for GST.
  4. It compares bank details with the supplier record and flags a mismatch.
  5. Route first bills for new suppliers to a second approver.

Pulsify connects to IFS Cloud. We set up the connection for you.

What Pulsify does not do here

  • Pulsify flags. A person still confirms by phone.

Common mistakes

  • Skipping the Supplier Group for a contractor.
  • Not entering the payment method.
