Bill approval means a bill is checked and signed off by the right person before it is paid. A setup says who approves what. What is segregation of duties?
Before you start
- Purchasing Parameters access
The CloudSuite Industrial way
Where to find it: Purchasing Parameters > General tab > Voucher Authorization
- Open Purchasing Parameters and tick Voucher Authorization on the General tab
- Set Voucher Tolerance Over and Under percentages (0 to 100)
- Save (needs special authorisation)
- Run the Voucher Authorization utility to move vouchers to Authorized, then post
Limits in CloudSuite Industrial
- This is a match and authorise status, not a multi-step routing by approver chain
- Vouchers entered manually in A/P always start as Failed
Good to know in CloudSuite Industrial
- The Authorizer field defaults from the PO Buyer for vouchers made from Purchasing
- Failed vouchers do not post
- Infor M3 is different: its docs describe a Payment Approval routine and a screen for authorizing, recoding and approving supplier invoices for payment (see M3 sources). Do not assume M3 steps apply to CloudSuite Industrial
Words CloudSuite Industrial uses
- Voucher. The record of a vendor invoice you owe. It is created in A/P Vouchers and Adjustments or generated from a PO receipt.
The Pulsify way
- Connect CloudSuite Industrial to Pulsify. We set up the connection for you where needed.
- Open Approvals. Every company starts with a default rule: any Admin or Approver can approve.
- Add steps for amounts, suppliers or accounts. Choose a person, a role or a team as approver at each step.
- Add a review step if someone should check coding before approval.
- Use Try an invoice to test the rule on a real bill.
- Add auto-approve rules for small or trusted bills if you want.
Pulsify connects to CloudSuite Industrial. We set up the connection for you.
What Pulsify does not do here
- Pulsify does not reassign an approval to someone else.
- Pulsify does not send approval reminders.
Common mistakes
- Keying vouchers manually and posting them without running the Voucher Authorization utility, so they stay Failed.
- Following Infor M3 approval screens. They differ from CloudSuite Industrial.
