HOW-TO

How to split a voucher across distributions in CloudSuite Industrial

Short answer

In CloudSuite Industrial, add one line per project or unit code on the voucher, tag each line with distributions and check the lines add up to the invoice total.

Splitting a bill across jobs or cost centres means giving each line of one supplier invoice its own job, department or project so costs land where they belong. In CloudSuite Industrial you do it with distributions.

Before you start

  • Project module for project costs

The CloudSuite Industrial way

Where to find it: Voucher Adjustment Distribution > Allocation And Tax tab

  1. Open Voucher Adjustment Distribution and select the Vendor and Voucher
  2. On the Allocation And Tax tab, add a line per split with Amount and Account
  3. Link a line to a Project and project cost code where project accounting is used
  4. Repeat until the Distribution Total equals the Invoice Amt
  5. Save

Limits in CloudSuite Industrial

  • Distribution lines split by amount only
  • The guide documents the project link on recurring voucher distributions. Project on standard voucher distributions is not described

Good to know in CloudSuite Industrial

  • A voucher header has four Unit Code fields (voucher transactions only) that can carry a reporting code for the whole voucher

Words CloudSuite Industrial uses

  • Voucher. The record of a vendor invoice you owe. It is created in A/P Vouchers and Adjustments or generated from a PO receipt.
  • Adjustment. A change to an existing voucher, for example for returned goods. A negative adjustment lowers what you owe.
  • Distribution. The account lines a voucher is posted to. The distribution total must equal the invoice amount.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address. Pulsify reads every row as its own line.
  2. Review each line and set its account. Line-item coding learns from how that vendor was coded before.
  3. Approve. The voucher is created in CloudSuite Industrial with one line per row.

What Pulsify does not do here

  • Pulsify does not split a line by percentage. A shared cost needs separate lines with set amounts.
  • Tagging a line to distributions is done in CloudSuite Industrial unless the line already carries it.

Example in CloudSuite Industrial

Example Pipe Supplies sends one voucher for $3,000 before tax. $2,200 is pipe and $800 is workshop consumables.

LineAmountTagged to
Pipe$2,200.00Dist Seq 1, Account: Example materials account
Workshop consumables$800.00Dist Seq 2, Account: Example consumables account

The Distribution Total is $3,000.00 and equals the Invoice Amt, so you can save.

Common mistakes

  • Saving before the Distribution Total equals Invoice Amt.
  • Assuming Project can be set on a standard voucher distribution line without checking your setup.
