HOW-TO

How to split a supplier invoice across jobs in Kinetic

Short answer

In Kinetic, add one line per job or GL account segment on the AP invoice, tag each line with GL account segments and job or project and check the lines add up to the invoice total.

Splitting a bill across jobs or cost centres means giving each line of one supplier invoice its own job, department or project so costs land where they belong. In Kinetic you do it with GL account segments and job or project.

Before you start

  • Job module for job costing

The Kinetic way

Where to find it: AP Invoice Entry > Lines; Job > Material with Misc Charge ticked

  1. Add one line per split in AP Invoice Entry
  2. For a cost that belongs to a job, add a Material line on the job with the Misc Charge box ticked and pick a Misc Charge account
  3. In AP, apply the invoice cost to that Misc Charge so it posts to the job as an ADJ-PUR transaction

Limits in Kinetic

  • Projects collect cost only through a WBS Phase Job. Costs keyed straight to a GL account do not reach project cost reports

Words Kinetic uses

  • AP Invoice Entry. The screen where you enter and group supplier invoices before posting.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address. Pulsify reads every row as its own line.
  2. Review each line and set its account. Line-item coding learns from how that supplier was coded before.
  3. Approve. The AP invoice is created in Kinetic with one line per row.

What Pulsify does not do here

  • Pulsify does not split a line by percentage. A shared cost needs separate lines with set amounts.
  • Tagging a line to GL account segments and job or project is done in Kinetic unless the line already carries it.

Example in Kinetic

Example Timber Supplies sends one supplier invoice for two jobs. Total $4,400. Each job has a Material line with Misc Charge ticked.

LineAmountTagged to
Framing timber, Example Job A$2,200.00Job: EX-JOB-A, Misc Charge
Framing timber, Example Job B$1,400.00Job: EX-JOB-B, Misc Charge
Delivery, Example Job A share$200.00Job: EX-JOB-A, Misc Charge
Delivery, Example Job B share$200.00Job: EX-JOB-B, Misc Charge

In Job Tracker > Material Transactions each job shows ADJ-PUR transactions. EX-JOB-A totals $2,400 and EX-JOB-B totals $1,600.

Common mistakes

  • Keying the cost straight to a GL account and expecting it in project cost reports.
  • Forgetting to tick Misc Charge on the job's Material line.

Common questions

Does Kinetic split by percentage?

Kinetic has no percentage split. Add one line per split in AP Invoice Entry, so work out each share in dollars.

How does a cost reach a job?

Add a Material line on the job with the Misc Charge box ticked, pick a Misc Charge account, then apply the invoice cost to that Misc Charge. It posts to the job as an ADJ-PUR transaction.

Why do my project costs not show?

Projects collect cost only through a WBS Phase Job. Costs keyed straight to a GL account do not reach project cost reports.
