HOW-TO

How to split a supplier invoice across GL distribution lines and jobs in SYSPRO

Short answer

In SYSPRO, add one line per job or GL account on the supplier invoice, tag each line with GL distribution lines and jobs and check the lines add up to the invoice total.

Splitting a bill across jobs or cost centres means giving each line of one supplier invoice its own job, department or project so costs land where they belong. In SYSPRO you do it with GL distribution lines and jobs.

The SYSPRO way

Where to find it: Program List > Accounts Payable > Invoice Processing > AP Invoice Posting > GL Distribution pane

  1. Open AP Invoice Posting, pick the Supplier and enter the Transaction amount, then choose GL Distribution on the toolbar.
  2. Add one line for each ledger code. Enter the amount for each line. Apply Undistributed spreads whatever is left to the selected ledger code.
  3. Where a line is a freight or miscellaneous charge for a job, choose Issue to Job and enter the Job number.
  4. If Dimension analysis is switched on, enter the analysis details when the capture screen opens.
  5. Post when the Undistributed value is zero.

Limits in SYSPRO

  • Splits are by amount only. There is no percentage split.
  • Issue to Job posts non-stocked amounts such as freight and miscellaneous charges straight to a work in progress job. The job must exist, be confirmed in Work in Progress and not be on hold, and AP and Work in Progress must be in the same financial period.
  • Branch or cost centre splits depend on the ledger code structure and the Dimension analysis setting (Setup Options > General Ledger Integration > General Ledger Codes).

Good to know in SYSPRO

  • A notation can be entered on each distribution line when the Notation per detail distribution entry setup option is on (Setup Options > Preferences > Financials > Accounts Payable).

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address. Pulsify reads every row as its own line.
  2. Review each line and set its account. Line-item coding learns from how that supplier was coded before.
  3. Approve. The supplier invoice is created in SYSPRO with one line per row.

What Pulsify does not do here

  • Pulsify does not split a line by percentage. A shared cost needs separate lines with set amounts.
  • Tagging a line to GL distribution lines and jobs is done in SYSPRO unless the line already carries it.

Example in SYSPRO

Example Steel Supplies sends one supplier invoice for $5,600 before tax. $3,000 is stock fasteners, $2,000 is brackets and $600 is freight for job EX-1042.

LineAmountTagged to
Fasteners for general stock$3,000.00Ledger code: Example stock account
Fabricated brackets$2,000.00Ledger code: Example materials account
Freight for the job$600.00Issue to Job: EX-1042

The Undistributed value reaches zero at $5,600.00, so Post is available. The $600 freight goes straight to work in progress for job EX-1042.

Common mistakes

  • Using Issue to Job for a job that is on hold or not yet confirmed in Work in Progress.
  • Posting a freight charge to a job when AP and Work in Progress are in different financial periods.

Common questions

Can I split a supplier invoice by percentage?

SYSPRO splits by amount, not by percentage. Work out the dollar amounts first, add one line for each ledger code and use Apply Undistributed to spread what is left.

How do I charge freight to a job?

On the distribution line choose Issue to Job and enter the Job number. The job must exist, be confirmed in Work in Progress and not be on hold. AP and Work in Progress must be in the same financial period.

Where do I record how I split it?

If the Notation per detail distribution entry option is on (Setup Options > Preferences > Financials > Accounts Payable), you can enter a notation on each distribution line. Keep your working there.
