HOW-TO

How to stop paying a vendor invoice twice in Sage 300 CRE

Short answer

Before you enter an invoice in Sage 300 CRE, search the vendor's bills for the same number or amount. Use one reference format and check the Select Invoices to Pay for repeats.

Duplicate payment is when the same supplier invoice is entered or paid more than once. It often happens when an invoice arrives by two routes.

The Sage 300 CRE way

Where to find it: Accounts Payable > Tasks > Enter Invoices

  1. Enter the invoice number exactly as printed. AP blocks a repeat of the same number for the same vendor ID.

Limits in Sage 300 CRE

  • Exact match only: 000000317 and 00000317 are not caught.
  • Two vendor IDs for one supplier let the same number through.
  • No check on amount or date.

The Pulsify way

  1. Forward the supplier's invoice to Pulsify.
  2. Pulsify compares the invoice number with punctuation and case ignored, plus the same vendor, invoice date or tax ID.
  3. It checks other Pulsify documents and active bills in Sage 300 CRE.
  4. A possible duplicate is flagged. Open the match, then reject or approve anyway.

What Pulsify does not do here

  • Pulsify flags. You decide.
  • A duplicate with a quite different invoice number may not be found.

Common mistakes

  • Retyping an invoice number with extra or missing leading zeros, which slips past the check.
  • Setting up the same supplier under two vendor IDs.

Common questions

Does Sage 300 CRE block a duplicate invoice number?

Partner sources (Thrive Technologies) say AP blocks a repeat of the same invoice number for the same vendor ID. Enter the number exactly as printed.

Which duplicates still get through?

Exact match only. 000000317 and 00000317 are not caught. Two vendor IDs for one supplier let the same number through. There is no check on amount or date.

What does "Document already exists for specified vendor" mean?

Procore lists that error. It is consistent with the AP rule that a vendor ID cannot repeat an invoice number. This is a third-party report, not Sage documentation.

What does Pulsify check?

The invoice number with punctuation and case ignored, plus the same supplier, invoice date or tax ID.
