HOW-TO

How to apply a credit invoice to a vendor invoice in Sage 300 CRE

Short answer

In Sage 300 CRE, enter the credit invoice for the vendor, then allocate it to the invoice it credits. Pay the balance that is left.

Last checked

Applying a supplier credit note means recording the credit and allocating it against the bill it reduces, so you pay only the balance.

The Sage 300 CRE way

Where to find it: Accounts Payable > Tasks > Enter Invoices (negative amount); Tasks > Select Invoices to Pay

  1. Enter the credit as an invoice with a negative amount.
  2. In Select Invoices to Pay turn off the vendor One Invoice per Payment setting.
  3. Select the credit with the invoices it offsets. Use Partial to apply part of it.

Limits in Sage 300 CRE

  • The check net must be zero or more. No check prints if the net is negative.
  • A cash refund from a supplier is handled with a negative invoice, a positive invoice and a zero-dollar manual check.

The Pulsify way

  1. Forward the supplier's credit note to your Pulsify address. Pulsify recognises it as a credit note.
  2. Pulsify flags a credit note with a missing or unknown original invoice, or an original smaller than the credit.
  3. Choose the original bill and approve.
  4. Pulsify creates the credit note in Sage 300 CRE against the original bill.

What Pulsify does not do here

  • Pulsify does not handle partial allocation across several bills.
  • Credit note handling is limited to the cases listed above.

Common mistakes

  • Leaving the vendor One Invoice per Payment setting on, so the credit cannot sit with the invoices it offsets.
  • Selecting a credit larger than the invoices, which leaves a negative net.

Common questions

How do I enter a supplier credit?

Enter it as an invoice with a negative amount in Enter Invoices. Then pick it with the invoices it offsets in Select Invoices to Pay.

Why will no check print?

The check net must be zero or more. No check prints if the net is negative, for example when the credit is bigger than the invoices selected.

How do I record a cash refund from a supplier?

Notes from a TUG 2017 session say to use a negative invoice, a positive invoice and a zero-dollar manual check. Test it in a copy company first.

Does Pulsify read credit notes?

Yes. It recognises supplier credit notes and flags a missing or unknown original invoice.
