How to match a vendor invoice to a purchase order in Sage 300 CRE

Short answer

In Sage 300 CRE, open the commitment, compare each invoice line to the commitment line on quantity and unit price and query any difference before you approve.

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?

The Sage 300 CRE way

Where to find it: Accounts Payable > Enter Invoices against a commitment

  1. Pick the PO or subcontract commitment on the invoice.
  2. Invoices applied to a commitment post to the commitment payable account.

Limits in Sage 300 CRE

  • Sage 300 CRE has no three-way match against receipts in the base AP.
  • Over-commitment warnings are set in AP Settings > Invoice Settings > Warning message settings (total amount or units invoiced above the commitment).

Good to know in Sage 300 CRE

  • Sage Construction Management docs: a bill tied to a PO posts as a commitment invoice; a bill with no PO is an AP invoice with a blank commitment field.

Words Sage 300 CRE uses

  • Commitment. A purchase order or subcontract that invoices are applied to.

The Pulsify way

  1. Sync your open POs from Sage 300 CRE to Pulsify.
  2. Forward the supplier's invoice. Pulsify links it to the right commitment.
  3. Pulsify matches each line on quantity and unit price, to within 1 cent.
  4. Review flags for price differences, extra quantity and lines not on the PO.
  5. Approve. The invoice is created in Sage 300 CRE against the commitment.

What Pulsify does not do here

  • Pulsify has no tolerance setting. It compares to the cent.
  • Flags are warnings. Your approver decides.

Common mistakes

  • Entering the invoice with no commitment, so it posts as a plain AP invoice with a blank commitment field.
  • Leaving the over-commitment warnings off in AP Settings.
