How to set a price tolerance on purchase order matching in Sage 300 CRE

Short answer

Sage 300 CRE sources describe a tolerance on the commitment total at invoice entry, not a per-line price tolerance. Set the tolerance under AP Settings > Invoice Settings > Warning message settings.

A price tolerance is the gap between the PO price and the invoice price that you accept without a query. What is purchase order?

The Sage 300 CRE way

Where to find it: Accounts Payable > File > Company Settings > AP Settings > Invoice Settings > Warning message settings

  1. Sage 300 CRE users describe a tolerance on the commitment total at invoice entry, not a check of each line.
  2. Set the tolerance allowed.
  3. The warning applies at invoice entry. A commitment is checked against the total invoiced, not each line.
  4. When an integrated system sends an invoice that breaks the setting, the error reads: Commitment XXXXXXX - amount invoiced exceeds approved amount plus tolerance. Procore says this comes from a Sage 300 CRE setting. It tells users to check the tolerance setup in Sage 300 CRE and the Sage knowledgebase.

Limits in Sage 300 CRE

  • This is a tolerance on the commitment total, not a per-line price tolerance.
  • The tolerance applies to the commitment total. The base AP shows no per-line price check against the purchase order or goods receipt.

Good to know in Sage 300 CRE

  • The related Sage 100 Contractor product has a different feature with similar aims: a Vendor Invoice Over Purchase Order warning with flat amount, percent or percent-not-to-exceed tolerance. Do not assume it works the same way in Sage 300 CRE.
  • Zero-dollar invoices and a missing expense account are other common reasons an integration rejects an invoice, so check those first when an error is not about tolerance.

Words Sage 300 CRE uses

  • Commitment. A purchase order or subcontract that invoices are applied to.

Common mistakes

  • Expecting the tolerance to catch a price difference on one line.
  • Switching on the warning without setting the tolerance allowed.
