Invoice approvals for SYSPRO

Short answer

SYSPRO covers part of invoice approvals on its own. Pulsify adds approval steps by supplier, amount, account or job, with approve, reject or send back from a phone.

Last checked

Invoice approval is the check that the right person agrees a supplier bill is correct before it is paid.

What SYSPRO does on its own

SYSPRO uses invoice registration then approval. A registered invoice stays out of AP and GL balances until someone with permission to approve it approves it. The standard AP Invoice Posting approval does not route invoices by amount or supplier. Requisitions have approval levels and limits.

  • No routing by amount or supplier in the standard AP Invoice Posting approval. SYSPRO Workflow Services can automate routing.
  • No bulk approve.

What you need in SYSPRO

  • Operator permission to approve invoices (set in Operator Maintenance)
  • Invoice registration enabled
  • eSignature AP Approve registered invoice if used

  2. With the Approval Workflows Add-on, add ordered steps that route by supplier, amount, account and tracking such as job.
  3. Each step asks a role, a person or a team. A step can need any one of them or everyone.
  4. Add a review step before approval if someone should check coding first.
  5. Use Try an invoice to see which path a sample bill would take.
  6. Approvers approve, reject or send back from a phone or laptop, one bill or many at once.
