Invoice capture means getting supplier invoices out of email and paper and into your system as data, without typing them in.
What SAP B1 does on its own
Business One has no built in invoice capture. A person keys each A/P invoice on the A/P Invoice screen and can attach the supplier's PDF to the record. Email in and data extraction come from partner products, and bulk loads of open invoices go through the Data Transfer Workbench.
What you need in SAP B1
- Partner capture product for email in and data extraction
- Data Transfer Workbench for bulk loads, usually run with an SAP partner

Good to know in SAP B1
- The Data Transfer Workbench loads master data, open documents and opening balances. It does not import closed past activity.
- For a load of open purchase invoices SAP recommends service type invoices so stock does not move.
- Ask the partner how its tool creates the A/P invoice and whether a person reviews it first.
- SAP lists a Business Document Extraction from E-Mail bot template that scans an Outlook inbox and sorts attachments by document type. It does not read invoices into an A/P invoice.
How to do it in SAP B1
How to enter an A/P invoice with line items in SAP B1
In SAP B1, open a new A/P invoice, pick the vendor, add one line per invoice row with an G/L account and tax code, then check the total matches the invoice.
How to import A/P invoice records from a CSV into SAP B1
Yes. Use the Data Transfer Workbench (DTW) with the template for the document. Save as .csv or .txt and keep each file to 10,000 records or fewer. It loads open documents, not closed past activity.
What Pulsify adds
- Each company gets its own Pulsify forwarding address. Suppliers send invoices there, or you forward or upload them.
- Pulsify works out what each file is (invoice, credit note, supplier statement or purchase order) and splits a PDF that holds several invoices.
- It unwraps ZIP files and converts Word, Excel, CSV and phone photos.
- Each invoice is read into header fields and line items for review.
- On approval Pulsify creates the A/P invoice in SAP B1 with the source file attached.

What Pulsify does not do
- Files over 25 MB are not accepted.
- Pulsify is a web app that installs to a home screen. It is not in the app stores.

Common questions
Can Business One read invoices from a PDF or email?
Not by itself. Invoices are keyed on the A/P Invoice screen. Partner products add email in and data extraction.
How do I load open purchase invoices in bulk?
Use the Data Transfer Workbench with the template for the document. Keep each file to 10,000 records or fewer. SAP recommends doing this with a partner.
Why use service type invoices for an opening load?
An item type invoice with no goods receipt behind it acts as the goods receipt and changes stock. A service type invoice does not move stock.
Do suppliers need to change anything?
No. They keep sending PDFs by email. You give them your Pulsify address or forward invoices to it yourself.
