Coding one bill to several accounts means each line of a supplier invoice goes to the expense or asset account that matches what was bought. What is chart of accounts?
Before you start
- Purchases access
The MYOB Business way
Where to find it: Purchases > Create bill (Services layout)
- Go to the Purchases menu and choose Create bill. To save typing, click Prefill from a source document and pick a supplier invoice from Uploads.
- Pick the Supplier. For Australia the ABN status is checked and shown. Tick Report to ATO via TPAR if the bill is a reportable contractor payment.
- Check the Bill number and type the Supplier invoice number. Set the Issue date and Due date.
- Choose Tax inclusive or Tax exclusive for the amounts.
- Click Field layout and choose Services.
- Add one line for each category. On each line type a Description and pick the Category the cost goes to. Then enter the Amount and Tax code.
- Pick a Job on a line if it relates to one. Add Freight if it applies.
- Check Subtotal, Tax, Total and Balance due at the bottom, then save. Use Save and new then Save and duplicate for a similar bill.
Limits in MYOB Business
- Each line has one account.
- Bills in a Miscellaneous or Professional layout, made in AccountRight or in add-ons such as ReceiptBank, cannot be edited here. Change them to a Service or Item layout in the software that made them.
Good to know in MYOB Business
- Amount fields have a built-in calculator. Type a sum in No of units, Unit price, Discount or Amount and press Tab.
- Save as recurring stores the split as a schedule (Daily, Weekly, Monthly and so on) and Prefill from recurring brings it back on the next bill.
- If you change the bill number, the automatic numbering carries on from the new number.
Words MYOB Business uses
- Uploads. A place where supplier documents wait before you link them to a bill.
- Report to ATO via TPAR. A tick box that marks a payment for the taxable payments annual report.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the supplier in MYOB Business.
- Pulsify suggests an account for each line from past bills for that supplier. Each line gets its own account and tax code.
- Check the suggestions in Pulsify, change any that are wrong and approve.
- The bill is created in MYOB Business with the right account on every line.
Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.
What Pulsify does not do here
- Pulsify can only pick from the accounts that exist in MYOB Business.
Common mistakes
- Putting two accounts on one line. Each line has one account.
- Leaving the tax code that came with the account when the supplier charged GST differently.
