HOW-TO

How to code one bill to several account codes in AccountRight

Short answer

In AccountRight, add a line for each type of cost on the bill. Set a different account and tax code on each line, then check the total matches the invoice.

Coding one bill to several accounts means each line of a supplier invoice goes to the expense or asset account that matches what was bought. What is chart of accounts?

Before you start

  • Purchases access

The AccountRight way

Where to find it: Purchases command centre > Enter Purchases (Service layout)

  1. Go to the Purchases command centre and click Enter Purchases. Pick the supplier. You cannot change the supplier once the purchase is recorded.
  2. Click Layout and choose Service. Set the Purchase Type to Bill.
  3. Choose Tax Inclusive if the amounts include GST. The choice is remembered for the next purchase, so set it before you type any amounts.
  4. Add one line for each account. Type the Description, then the Acct No. or Account Name, the Amount and the Tax/GST code.
  5. Pick a Job on the line if it belongs to one. Do not use your accounts payable account on a line.
  6. Add Freight if any, then type the supplier's invoice number in Supplier Inv No. so you can search for it later.
  7. Click Record.

Limits in AccountRight

  • A line takes an expense or cost of sales account. If Freight will not accept an amount, set a linked account for freight first.
  • If you change the calculated tax with the zoom arrow beside Tax/GST, the change is not carried into BASlink or GST Return calculations.

Good to know in AccountRight

  • The preference Select and Display Account Name, Not Account Number (Setup > Preferences, Windows tab) decides if the account column shows names or numbers.
  • Journal Memo holds a note that shows in the journal entry and is searchable. Line Tax can be added to the printed form through Customise Forms.

Words AccountRight uses

  • Job. A label on each line to track the cost of one job.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the supplier card in AccountRight.
  2. Pulsify suggests an account for each line from past bills for that supplier card. Each line gets its own account and tax code.
  3. Check the suggestions in Pulsify, change any that are wrong and approve.
  4. The bill is created in AccountRight with the right account on every line.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here

  • Pulsify can only pick from the accounts that exist in AccountRight.

Common mistakes

  • Using the accounts payable account on a line.
  • Leaving the account's tax code on a line when the supplier charged differently.
