HOW-TO

How to code a bill with mixed GST lines in AccountRight

Short answer

In AccountRight, set the tax code on each line of the bill. Use the GST code for taxable lines and the GST-free code for others, then check the GST total matches the invoice.

Last checked

A mixed GST bill has some lines with GST and some without, such as taxable goods plus GST-free items. Each line needs its own GST code.

Before you start

  • Purchases access
  • Tax codes set up

The AccountRight way

Where to find it: Purchases > Enter Purchases, Tax/GST column

  1. Set Tax Inclusive if prices include GST.
  2. On each line pick the Tax/GST code. Item purchases use the item's code and service purchases use the account's code.
  3. Click the zoom arrow next to Tax/GST to view or change the calculated amounts.
  4. Use the supplier card option Use Supplier's Tax Code if the supplier's status should override the item or account.
  5. Use N-T for imported goods where the GST is payable to the ATO (see the overseas purchases help).

Limits in AccountRight

  • Changes to calculated tax in a transaction are not shown in BASlink or GST return calculations.

Good to know in AccountRight

  • Default codes in the matching MYOB Business list include GST, FRE, CAP, INP, GNR, ABN and N-T. A help page covers combining tax or GST codes.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the supplier card in AccountRight.
  2. Pulsify works out the GST rate for each line from what is printed and picks the matching tax code in AccountRight.
  3. Check any line where the invoice is unclear. Change the tax code and approve.
  4. The bill is created in AccountRight with the GST on each line.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here

  • If the invoice does not show GST by line, Pulsify uses past bills for that supplier card. Check those lines yourself.

Example in AccountRight

Example Bakery Supplies sells you flour with GST and fresh eggs without GST. Tax Inclusive is off.

LineAmountTagged to
Flour$540.00Tax/GST: GST, GST $54.00
Fresh eggs$180.00Tax/GST: FRE
Delivery$36.00Tax/GST: GST, GST $3.60

Subtotal $756.00. GST $57.60 on $576.00 of taxable lines. Bill total $813.60.

Common mistakes

  • Changing the calculated tax in a transaction and expecting BASlink to show it.
  • Forgetting Tax Inclusive when the invoice prices include GST.

Common questions

Where does the Tax/GST code on a line come from?

Item purchases use the item's code and service purchases use the account's code. You can change the code on each line.

Can the supplier's tax status override the line code?

Yes. Tick Use Supplier's Tax Code on the supplier card if the supplier's status should override the item or account.

Do manual tax changes show in BASlink?

No. Changes to calculated tax in a transaction are not shown in BASlink or GST return calculations. Click the zoom arrow next to Tax/GST to view or change the amounts.

Does Pulsify code GST by line?

Yes. Pulsify sets a GST code on each line from the rate printed on that line and matches it to a tax code in your ledger.
