Entering a supplier bill with line items means recording each row of the invoice (item, quantity, price, account and GST) instead of one lump sum.
Before you start
- Access to A/P Vouchers and Adjustments form
- Vendor record
The CloudSuite Industrial way
Where to find it: A/P Vouchers and Adjustments (Accounts Payable)
- Open A/P Vouchers and Adjustments and choose Actions > New
- Pick the Vendor and set Type to Voucher
- Enter the Voucher number (or accept the next number), the vendor Invoice number, Invoice Date and Distribution Date
- Enter Purch Amt (the invoice amount without freight, duty or tax), plus Freight, Misc Charges and Sales Tax if on the invoice
- Check Due Date from the vendor terms and the A/P Acct
- Save, then open Voucher Adjustment Distribution (or Actions > Distribution Generation) to set the account lines
Limits in CloudSuite Industrial
- Lines are entered as distributions on a separate form, not as invoice lines on one screen
- Header amounts like Freight and Duty have their own fields
Good to know in CloudSuite Industrial
- For PO goods, Generate A/P Transactions can build the voucher from receipts instead of keying it
- Distribution total must equal the invoice amount before posting
Words CloudSuite Industrial uses
- Voucher. The record of a vendor invoice you owe. It is created in A/P Vouchers and Adjustments or generated from a PO receipt.
- Adjustment. A change to an existing voucher, for example for returned goods. A negative adjustment lowers what you owe.
- Distribution. The account lines a voucher is posted to. The distribution total must equal the invoice amount.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every printed row as its own line.
- Pulsify finds the vendor in CloudSuite Industrial and suggests an account for each line from how that vendor was coded before.
- Review the lines in Pulsify. Fix any account or tax code and approve.
- On approval, Pulsify creates the voucher in CloudSuite Industrial with the original file attached.
Pulsify connects to CloudSuite Industrial. We set up the connection for you.
What Pulsify does not do here
- Pulsify aims for 99% accuracy, but you still review each bill before approval.
Common mistakes
- Putting freight, duty or tax into Purch Amt instead of their own fields.
- Trying to post when the distribution total does not equal the invoice amount.
