How to enter a supplier invoice with line items in IFS Cloud

Short answer

In IFS Cloud, open a new supplier invoice, pick the supplier, add one line per invoice row with an account and tax code, then check the total matches the invoice.

Entering a supplier bill with line items means recording each row of the invoice (item, quantity, price, account and GST) instead of one lump sum.

Before you start

  • Supplier Invoice user role

The IFS Cloud way

Where to find it: Financials > Supplier Invoice > Arrival Entry or Manual Supplier Invoice

  1. Use Arrival Entry for the first quick registration of the invoice
  2. Or open Manual Supplier Invoice and enter the supplier, invoice number and amount
  3. Add cost postings, or match to a purchase order
  4. Authorize for payment, then post

Limits in IFS Cloud

  • The amounts in the invoice header must match the invoice line totals before the invoice can be posted
  • If the company uses Use Posting Proposal, invoices cannot be posted in the Supplier Invoice Entry window and the Posting Proposal window is used

Good to know in IFS Cloud

  • Supplier Invoice Templates cover repeating bills like utilities

Words IFS Cloud uses

  • Arrival Entry. The first quick entry of a supplier invoice when it arrives, before full coding.
  • Manual Supplier Invoice. The page used to key a supplier invoice with cost postings.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every printed row as its own line.
  2. Pulsify finds the supplier in IFS Cloud and suggests an account for each line from how that supplier was coded before.
  3. Review the lines in Pulsify. Fix any account or tax code and approve.
  4. On approval, Pulsify creates the supplier invoice in IFS Cloud with the original file attached.

What Pulsify does not do here

  • Pulsify aims for 99% accuracy, but you still review each bill before approval.

Common mistakes

  • Trying to post when the header amounts and line totals differ.
  • Trying to post in Supplier Invoice Entry when the company uses Use Posting Proposal.
