Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?
Before you start
- Purchase order; goods receipt if the PO item is goods receipt based
The S/4HANA way
Where to find it: Manage Supplier Invoices (F0859) > Create Supplier Invoice, or MIRO
- Create the supplier invoice and pick the purchase order (or delivery note, service entry sheet, bill of lading) as the reference.
- SAP proposes the open PO items and quantities.
- Change the quantity and amount to match the supplier invoice.
- Simulate or Post. SAP compares each item with the PO item (and the goods receipt where goods receipt based invoice verification is set).
- If the difference is outside the tolerances the invoice posts but is blocked for payment.
Limits in S/4HANA
- Service items match against service entry sheets.
- Blocked invoices must be released before payment.
Words S/4HANA uses
- Goods receipt. The record that goods arrived against a PO.
The Pulsify way
- Sync your open POs from S/4HANA to Pulsify.
- Forward the supplier's invoice. Pulsify links it to the right purchase order.
- Pulsify matches each line on quantity and unit price, to within 1 cent.
- Review flags for price differences, extra quantity and lines not on the PO.
- Approve. The supplier invoice is created in S/4HANA against the purchase order.
Pulsify connects to S/4HANA. We set up the connection for you.
What Pulsify does not do here
- Pulsify has no tolerance setting. It compares to the cent.
- Flags are warnings. Your approver decides.
Common mistakes
- Expecting a goods receipt check when goods receipt based invoice verification is not set on the PO item.
- Treating a posted invoice as ready to pay when it is blocked for payment.

Common questions
How do I match a supplier invoice to a purchase order?
Create the supplier invoice and pick the PO as the reference. A delivery note, service entry sheet or bill of lading also works. SAP proposes the open PO items and quantities. Change them to match the invoice, then Simulate or Post.
What does SAP compare?
Each item with the PO item, and with the goods receipt where goods receipt based invoice verification is set. Service items match against service entry sheets.
What happens if there is a difference?
If it is outside the tolerances the invoice posts but is blocked for payment. Blocked invoices must be released before payment.
What does Pulsify flag?
A unit price that differs from the PO, a quantity above the PO line and lines that are not on the PO.
