Short answer

In Sage 200, set authorisation rules by amount, supplier or job. Put specific rules first, then a default for everything else and test with a real purchase invoice.

Before you start

  • Sage 200 Purchase Order Processing

The Sage 200 way

Where to find it: Setting up > Purchase Order Processing > Purchase order authorisation

  1. Set up authorisation rules based on order value and the order originator, each naming who can authorise.
  2. Use rule groups, alternative (out of office) authorisers and a Super Authoriser as needed.
  3. Orders needing authorisation show in Authorise Orders.

Limits in Sage 200

  • Routing is for purchase orders and requisitions, not purchase ledger invoices.
  • Rules use value and originator, plus project managers for projects.

The Pulsify way

  1. Open Approvals in Pulsify and add a step.
  2. Add rows to the step. Each row can match a supplier, an amount range, an account or a tracking category.
  3. Choose who approves each row: a person, a role or a team.
  4. Add a second step for large amounts, or a review step for coding checks.
  5. Set an auto-approve rule for trusted, small bills.
  6. Use Try an invoice to see where a real bill would go.

What Pulsify does not do here

  • Pulsify does not reassign approvals and does not send reminders.

Common mistakes

  • Setting up purchase order rules and expecting them to cover Purchase Ledger invoices.
  • Not naming an alternative authoriser for when someone is out of the office.
