HOW-TO

How to approve purchase invoice records in bulk in Sage 200

Short answer

In Sage 200, filter the purchase invoice list to bills ready for approval, tick the ones you have checked and approve them together. Open unusual bills one by one.

Bulk approval means approving many bills at once instead of opening each one. It saves time on routine bills. What is segregation of duties?

Before you start

  • Sage 200 Purchase Ledger
  • Invoice authorisation switched on in the Purchase Ledger settings, Processing tab

The Sage 200 way

Where to find it: Purchase Ledger > Enter Transactions > Authorisation

  1. Choose Multiple suppliers or a single supplier.
  2. Select several transactions and click Authorise.
  3. Before you start, run the Unauthorised Transactions report to see everything that still needs authorising.
  4. In the Authorisation screen choose a Single supplier or a range of Multiple suppliers. Use the Selection criteria to show All unauthorised transactions or only those By date range.
  5. Select a transaction and click Authorise. The Transaction Nominal Analysis window shows the nominal expense account it will post to, and you can change the account here. Click OK, then carry on with the rest of the list.

Limits in Sage 200

  • Authorisation is by supplier selection. No amount-based routing for invoices.
  • The screen covers invoices and credit notes entered directly to the Purchase Ledger. Purchase order authorisation is a separate process.
  • Until a transaction is authorised you cannot allocate a payment to it, allocate an unauthorised credit note to an invoice or reverse it.
  • Each transaction is selected and authorised in turn from the displayed list. The help describes no single button that authorises the whole list.

Good to know in Sage 200

  • You can set authorisation to apply automatically to invoices or credit notes above a set value on the Processing tab. For smaller ones, the user ticks Requires Authorisation when entering the transaction.
  • An unauthorised transaction carries a query flag U and posts to the default Unauthorised Purchases nominal account. If that account is not set, the value goes to the suspense account. Authorising reverses the postings to the real nominal accounts.
  • In Sage 200 Standard the screen is under Suppliers > Enter Transactions > Authorisation, and the Unauthorised Transactions report is under Suppliers > Supplier Reports > Account Analysis.

The Pulsify way

  1. Open the Invoices queue in Pulsify. Filter to bills waiting on you.
  2. Open anything flagged and fix or reject it.
  3. Tick the clean bills and use bulk approve.
  4. Pulsify creates each bill in Sage 200 with the file attached.

Pulsify connects to Sage 200. We set up the connection for you.

What Pulsify does not do here

  • Bulk approve is per bill. If one bill fails, the others still go through.
  • A bill with a warning may need to be approved from its own page.

Common mistakes

  • Authorising a whole supplier range without opening the transactions.
  • Expecting the bulk screen to filter by invoice value.
