Why it matters for retailers
- Statements include returns, markdowns and rebates that never reached the ledger.
- Small suppliers may hold you to their terms, and the large business payment time reporting scheme can set expectations on pay speed.
For retailers in S/4HANA
- S/4HANA has no statement import. Open Manage Supplier Line Items (F0712) with the key date set to the statement date and list the open items for the supplier.
- Fill the Reference field on every invoice so statement lines can be matched by number.
- The Accounts Payable Overview has a Payable Aging card for a quick view before the statement run.
What S/4HANA does on its own
The SAP help does not describe a supplier statement import or reconciliation. People compare the supplier account line items with the supplier statement by hand.
Partner and add-on products cover statement reconciliation as a separate category.

Example
Example Electronics Pty Ltd sends a vendor statement for $27,700. Your ledger shows $25,100.
| Line | Amount | What the check finds |
|---|---|---|
| Invoices in ledger and on statement | $25,300.00 | Match |
| Invoice 2204, on statement only | $2,400.00 | Missing, store receipt not found |
| Return credit, in ledger only | -$200.00 | Supplier has not applied it |
The $2,600 gap is the $2,400 invoice missing from the ledger plus the $200 return the supplier has not applied. The store checks its receiving records and the supplier is asked to apply the credit.
Common mistakes
- Paying statements without checking each store's receipt.
- Ignoring supplier credits sitting on the statement.

Common questions
How does a retailer reconcile a supplier statement in S/4HANA?
By hand. List the supplier's open line items on the statement date in Manage Supplier Line Items and compare them with the statement. The Reference field on each invoice is what makes the match work.
How often should a retailer reconcile statements?
Monthly for each supplier, and weekly for the largest. Match each line to a bill and a store receipt, and chase any gap before you pay.
Which field helps me tick off statement lines?
The invoice Reference field. Filling it on every supplier invoice makes the statement lines easier to match.
