Why it matters for retailers
- Volume jumps before peak trading, so stock invoices pile up while shop floors are busy.
- Stores receive paper dockets and invoices at the back door, which then travel to head office or get lost.
For retailers in S/4HANA
- Open Upload Supplier Invoices, pick the company code and document type and upload many files at once. Each file becomes a draft supplier invoice with the file attached.
- A buyer or AP clerk finishes each draft in Manage Supplier Invoices and posts it. The upload app does not read line data from the file.
- For suppliers that agree not to invoice, Create Evaluated Receipt Settlement builds the invoice from the goods receipt and PO price, so no document needs capture.
What S/4HANA does on its own
The Upload Supplier Invoices app takes invoice files and makes one draft supplier invoice for each file, with the file attached. A person then fills in the fields and posts the draft. Invoices that arrive through SAP Business Network also land as drafts. Reading the data off a PDF needs a separate capture or business network product.
The help describes no CSV import of invoice lines for AP users. Bulk loads go through migration tools.
What you need and the setup steps: Invoice capture for S/4HANA.
Example
A store in Parramatta gets a paper invoice from Example Grocery Wholesale with the delivery. The store photographs it and sends it to the bills inbox.
| Line | Amount | What the check finds |
|---|---|---|
| Grocery stock, mixed GST | $3,640.00 | Read as separate lines, some GST-free |
| Delivery fee | $35.00 | Read as a freight line |
| Invoice number and date | Read from the header |
The invoice is read into a draft bill with all lines and the store. Head office reviews it without retyping.
Common mistakes
- Letting each store key bills by hand.
- Saving invoices in a shared inbox with no rule for who enters them.

Common questions
Can a retailer bulk upload supplier invoices to S/4HANA?
Yes, as files. Upload Supplier Invoices makes one draft per file with the file attached. A person then completes and posts each draft. Capture products or Business Network add that.
How can a store send bills to head office?
Photograph the invoice at the dock and email it to a single bills address. Keep the delivery docket with it. Head office enters and checks the bill without waiting for paper.
Can I load supplier invoice lines from a CSV file?
The help describes no CSV import of invoice lines for AP users. The upload app takes invoice documents and makes drafts. Bulk data goes in through migration tools, which are usually run by a project team.
