S/4HANA

Invoice capture for S/4HANA

Short answer

S/4HANA needs an add-on for invoice capture. Pulsify gives each company its own email address, reads every invoice line by line and creates the supplier invoice in S/4HANA.

Last checked

Invoice capture means getting supplier invoices out of email and paper and into your system as data, without typing them in.

What S/4HANA does on its own

The Upload Supplier Invoices app takes invoice files and makes one draft supplier invoice for each file, with the file attached. A person then fills in the fields and posts the draft. Invoices that arrive through SAP Business Network also land as drafts. Reading the data off a PDF needs a separate capture or business network product.

What you need in S/4HANA

  • Authorisation for the Upload Supplier Invoices app
  • A separate SAP or partner capture product to read data off a PDF

What Pulsify adds

  1. Each company gets its own Pulsify forwarding address. Suppliers send invoices there, or you forward or upload them.
  2. Pulsify works out what each file is (invoice, credit note, supplier statement or purchase order) and splits a PDF that holds several invoices.
  3. It unwraps ZIP files and converts Word, Excel, CSV and phone photos.
  4. Each invoice is read into header fields and line items for review.
  5. On approval Pulsify creates the supplier invoice in S/4HANA with the source file attached.

Common questions

Does S/4HANA read the data off a PDF invoice by itself?

The Upload Supplier Invoices app attaches the file to a draft and leaves the fields for a person to fill in. The help does not describe reading PDF data in that app. SAP and partners sell separate capture and business network products for that.

Can I load supplier invoice lines from a CSV file?

The help describes no CSV import of invoice lines for AP users. The upload app takes invoice documents and makes drafts. Bulk data goes in through migration tools, which are usually run by a project team.

Where do uploaded invoices end up?

Each uploaded file becomes a draft in Manage Supplier Invoices. Nothing is posted until someone completes the draft and posts it.

Do suppliers need to change anything?

No. They keep sending PDFs by email. You give them your Pulsify address or forward invoices to it yourself.
