Entering a supplier bill with line items means recording each row of the invoice (item, quantity, price, account and GST) instead of one lump sum.
Before you start
- Role with access to Manage Supplier Invoices (F0859) or Enter Invoice (MIRO)
The S/4HANA way
Where to find it: Fiori launchpad: Manage Supplier Invoices (F0859) > Create Supplier Invoice tile. Back end: Logistics > Materials Management > Logistics Invoice Verification > Document Entry > Enter Invoice (MIRO)
- Open the Create Supplier Invoice tile and fill in the General Information: Company Code, Gross Invoice Amount, Invoice Date, Reference and Invoicing Party.
- For an invoice with no PO, choose Add in G/L Account Items and enter the G/L account, Amount, Tax Code and an accounting object such as a cost centre.
- For a PO invoice, pick the reference document (purchase order, delivery note, service entry sheet and so on) and keep the items you want.
- Choose Check or Simulate to see the account movements.
- Choose Post, or Hold. One clerk can park an invoice and another can complete and post it.
Limits in S/4HANA
- Screens and apps differ between Public Cloud, Private Cloud and on-premise.
- If you enter a PO invoice outside the tolerance limits, it posts but is blocked for payment.
- Some options (for example Advanced Edit) need a setting in Edit Supplier Invoice Settings.
Words S/4HANA uses
- Cost centre. A unit that costs are collected against, such as a team or site.
- Company code. A legal entity with its own books.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every printed row as its own line.
- Pulsify finds the supplier in S/4HANA and suggests an account for each line from how that supplier was coded before.
- Review the lines in Pulsify. Fix any account or tax code and approve.
- On approval, Pulsify creates the supplier invoice in S/4HANA with the original file attached.
Pulsify connects to S/4HANA. We set up the connection for you.
What Pulsify does not do here
- Pulsify aims for 99% accuracy, but you still review each bill before approval.
Common mistakes
- Posting a PO invoice outside the tolerance limits and not noticing it is blocked for payment.
- Following a screen from another edition. Screens and apps differ between Public Cloud, Private Cloud and on-premise.
