Line item coding in S/4HANA for retailers

Short answer

S/4HANA has line item coding built in. Each store codes the same supplier differently, so reports by store, brand or department cannot be compared.

Why it matters for retailers

  • Mixed bills carry taxable and GST-free lines, such as grocery and hardware on the same invoice.
  • Freight, packaging and returns need their own accounts so stock margin is right.

For retailers in S/4HANA

  • Mixed supplier bills carry food and non-food lines. Set the Tax Code on every G/L Account Item through Show Details. SAP maps AU codes such as P1 (GST 10%) and P2 (GST exempt or free) to BAS boxes.
  • For shop fit-out or maintenance with no PO, add one G/L account item per store and set the cost centre on each.
  • On a PO item use multiple account assignment to split cost across stores by quantity or percentage. The Partial Invoice field decides how a part bill spreads.

What S/4HANA does on its own

Each line of a supplier invoice carries its own account assignment. For an invoice with no PO you add G/L account items with an account, amount, tax code and an accounting object such as a cost centre, WBS element or order. For a PO invoice the accounts come from the PO.

The supplier master does not hold a default expense account for non-PO invoices. The reconciliation account and payment terms sit there.

Example

Example Wholesale Foods sends one invoice to a convenience store with taxable and GST-free lines.

LineAmountWhat the check finds
Bread and milk, GST-free$620.00Coded to cost of goods, GST-free
Soft drinks, taxable$480.00Coded to cost of goods, 10% GST
Delivery fee$40.00Coded to freight in, 10% GST

Each line goes to the right account and tax code for that store. GST is $52 on the taxable lines only.

Common mistakes

  • Coding the whole bill as taxable.
  • Letting each store pick its own account for the same type of cost.

Common questions

How should a retailer code one bill across several stores in S/4HANA?

For a PO item, use multiple account assignment and split by quantity or percentage. For a bill with no PO, add one G/L account item per store with its cost centre. Set the tax code on each item.

How should a retailer code mixed GST bills?

Code each line to its own GST treatment. Basic food is generally GST-free and drinks or non-food lines are taxable. Check each line against the ATO guide.

Does S/4HANA remember the expense account for a supplier?

The supplier master holds the reconciliation account and payment terms. It does not hold a default expense account for non-PO invoices. For repeat invoices SAP offers a recurring entry or an invoice template.
